2. Data Protection Officer
Our Data Protection Officer (DPO) oversees data-protection compliance and handles questions and requests concerning
personal information.
3. Scope
This Policy applies to personal information collected through our website (www.expeditedna.co.zw), enquiry and appointment
forms, telephone, email, WhatsApp, in-person communications, office or sample-collection visits, and authorised third parties
involved in a testing matter.
It does not cover third-party websites or laboratories that publish their own privacy notices. Please review those notices
separately.
4. Information We Collect
Depending on the service requested, we may collect:
• Identity and contact details: name, date of birth, national ID or passport number, gender, address, telephone number, email
address, and relevant details about other test participants.
• Genetic and health information: biological samples such as buccal swabs or blood, genetic data derived from analysis,
relevant medical or pregnancy information, and test results or reports.
• Case and legal information: details needed for legal, immigration, custody or forensic matters, chain-of-custody records, and
information about instructing legal practitioners, courts or authorities where relevant.
• Payment information: billing details and proof of payment. Full card or banking credentials are handled by payment partners
and are not permanently stored by us.
• Website and communications information: information submitted through forms, IP address, browser type, pages visited,
and information collected through standard website logging or cookies.
We collect only information reasonably necessary for the relevant purposes, subject to applicable legal requirements.
5. How We Collect Information
We collect information directly from you; from other participants where a test involves more than one person; from third parties
you have authorised, such as legal practitioners, courts, immigration or medical officials, and partner laboratories; and
automatically through standard website technologies.
Where required by law, we will take reasonable steps to inform you if we obtain your information from someone else.
6. Purposes and Lawful Grounds
We process personal information to verify identity and eligibility; maintain chain of custody; arrange and perform the requested
DNA test with partner laboratories; communicate about appointments, results and after-care; prepare reports for authorised
legal, immigration or court purposes; process payments and maintain billing records; meet legal or regulatory obligations;
respond to enquiries and improve our services; and, with separate consent, send service-related or marketing
communications.

Our lawful grounds may include your consent, performance of a contract, compliance with a legal obligation, protection of vital
interests, and legitimate interests such as administration, billing and service improvement, where permitted by law.
Because genetic and health information is sensitive, we will seek written, informed consent before collecting samples or
processing related genetic or health data, except where applicable law permits processing without consent. Health information
will be processed under the guidance of, or in consultation with, an appropriately qualified health professional where required.
We will not use genetic or health data for purposes beyond the requested test and legally connected purposes without further
consent where required. Consent may be withdrawn, but this does not affect processing already carried out lawfully and may
affect our ability to complete a test.
7. Children and People Unable to Consent
Where a test involves a child or a person unable to provide legally effective consent, we will obtain consent from their parent,
legal guardian or authorised legal representative as required by law. We take particular care to minimise information collected
about children and to protect it.
8. Confidentiality and Chain of Custody
We treat test information as confidential. Access to samples, case files and results is limited to authorised personnel and
partner laboratories that need the information to perform the service. For legal and immigration tests, we maintain
chain-of-custody procedures to protect the integrity and confidentiality of samples and results.
9. Who We Share Information With
We may share relevant information with:
• Accredited partner laboratories conducting the analysis on our behalf.
• Courts, legal practitioners, immigration authorities or law-enforcement agencies where you have authorised the purpose or
disclosure is required or permitted by law.
• Service providers, including couriers, IT hosting providers and payment processors, subject to confidentiality and
data-protection obligations.
• POTRAZ or other regulators where legally required.
• Other test participants, only to the extent necessary for the test.
We do not sell personal information or share genetic or health data with third parties for marketing purposes.
10. Transfers Outside Zimbabwe
Samples and associated genetic data may be transferred outside Zimbabwe for analysis by our internationally accredited
partner laboratories. Where personal information is transferred outside Zimbabwe, we will use the safeguards required by
applicable law, which may include confirming adequate protection, contractual or other safeguards, or explicit consent where
applicable.
11. Cookies and Website Technologies
Our website may use cookies or similar technologies to operate, remember preferences and understand website usage,
including through analytics. You can control cookies through your browser settings, although disabling them may affect website
functionality. We do not use cookies to collect genetic, health or other sensitive information.
12. Retention
We retain personal information, samples and test records only for as long as necessary for the purposes described in this
Policy and for applicable legal, regulatory, accreditation or record-keeping requirements. Longer periods may apply to legal or
court-directed tests. Information and samples will be securely deleted or destroyed when the applicable retention period ends,
subject to legal requirements.
13. Security and Data Breaches
We use reasonable technical and organisational measures appropriate to the sensitivity of the information, including restricted
physical access to samples and paper records; need-to-know access for trained staff; secure sample handling and transport;
confidentiality obligations for staff and service providers; and reasonable safeguards for information transmitted through our
website.
If a data breach is likely to create a risk to individuals’ rights, we will notify POTRAZ within the timeframe required by law and
notify affected individuals without undue delay where the breach poses a significant risk.

14. Your Rights
Subject to applicable law, you may have the right to be informed about processing; access personal information we hold about
you; correct inaccurate or incomplete information; object to or request restriction of certain processing; withdraw consent where
processing is based on consent; request deletion of information no longer needed, subject to legal retention duties; and
complain to POTRAZ if you believe your information has been handled unlawfully.
You may also have rights concerning decisions based solely on automated processing that produce legal or similarly significant
effects, subject to applicable safeguards.
15. Complaints
If you are unhappy with how we have handled your information, please contact our DPO first so we can try to resolve the
concern. You may also lodge a complaint with the Postal and Telecommunications Regulatory Authority of Zimbabwe
(POTRAZ), the Data Protection Authority.
